Building a multi-tenant school ERP with 8 role portals

The challenge
What needed solving
Indian schools run on fee registers, Excel sheets and phone calls. Off-the-shelf school software is either built for other countries or priced per module, so most mid-sized schools stay on paper.
The product had to serve many schools from one system without any school ever seeing another's data, work on the cheap phones teachers and parents actually carry, and handle Indian realities: fee instalments and concessions, opening balances from old ledgers, transfer certificates in board formats, and school buses run by separate operators.
The solution
What we built
Multi-tenant architecture
Every record is scoped to an institution at the data layer, so isolation doesn't depend on screen code. A platform console onboards new schools and runs self-serve 30-day trials with sample data.
Eight role portals
Director, principal, operator, accountant, reception, teacher, non-teaching staff and parent — each login opens to the right screen and sees only what that role needs.
Fees that match how schools work
Class-wise fee plans, instalments, concessions, receipts in seconds, defaulter lists and opening balances, so no parent is asked to pay twice.
Payments straight to the school
Parents pay by UPI, card or net banking into each school's own Razorpay account; receipts are created automatically from the payment webhook.
Works on any phone
A progressive web app with push notifications — no app-store install for teachers or parents.
Documents generated in the browser
Transfer certificates, bonafide certificates, ID cards and report cards print on one A4 page in each board's format.
The outcome
What changed
- Live in production with its first anchor school, with self-serve trials open to any school.
- Excel imports that list unreadable rows instead of dropping them, so schools move over without losing records.
- Every change written to an audit log; optional two-step sign-in; a Data Processing Agreement under India's DPDP Act, 2023.
